Recently, we had the privilege of serving as an audio visual consultant for the National Bar Association Corporate Law Section during their conference at the El Conquistador Resort in Puerto Rico. This milestone marked our first time operating in an AV consulting role, and it was a tremendous success.

Once the invoice was presented to the client, we conducted a thorough review of line items, negotiated pricing, and eliminated unnecessary charges, ensuring the client received the best value without compromising quality.
On-Site Coordination: Seamless Execution
Upon arrival in Puerto Rico, we immediately got to work. Our first steps included meeting the local AV team, touring the event spaces, and understanding the layout for plenary sessions, breakout rooms, and evening receptions. Establishing clear communication with all stakeholders was essential in ensuring a smooth execution.
Conference Execution: Precision in Every Detail
As the conference commenced, we made sure that each meeting space was set to the correct AV specifications. Any necessary last-minute adjustments due to changes in programming were promptly communicated to the AV team. Working closely with the conference chairs and meeting planner, we helped draft detailed Run of Shows for all plenary sessions and the prestigious evening awards banquet.
Additionally, we collaborated with the graphic designer to ensure that all PowerPoint presentations aligned with the Run of Shows, enhancing the visual and professional impact of each session. Our proactive approach allowed speakers, panelists, and organizers to focus on their content, knowing the technical aspects were in expert hands.
